The virtual-office service we offer is fully compliant with the regulations. This has been confirmed repeatedly by the Supreme Administrative Court. There is no basis for the tax office to refuse to grant you a NIP or to register you as an active VAT payer.

I haven’t registered my company yet — can I sign a contract?

Yes — you can sign the contract, which gives you the basis to register your business at our address. Once you’ve registered the company and received the KRS and NIP numbers, just let us know. If you don’t yet have a NIP but want to deduct the VAT invoice as a cost, contact us after receiving the NIP for a correcting invoice.

How long will signing the contract take?

From the moment you place an order, we need 24 hours to verify your data and send you the contract signed electronically with a qualified signature. You can also book an in-person signing at our office

Why do you need so many of my details?

The data Workin collects results from EU obligations implemented by the Polish Act of 1 March 2018 on counteracting money laundering and terrorist financing. As a provider of registered-office services to other businesses, Workin is a so-called “obliged institution” under that law, required to apply customer identification measures — including those in Articles 34 and 35 in conjunction with Article 2(1)(16)(c) — to counter money laundering and terrorist financing. As an obliged institution, Workin must carry out all possible client checks to avoid entering into business relationships with uncertain or risky entities.

Why do you charge a deposit on a virtual-office contract?

The deposit we collect is refunded at the end of the contract. It secures monthly payments and, on fixed-term contracts, covers potential contractual penalties (e.g. if you fail to deregister from our address after the contract ends), as well as any amounts due for additional Workin services you use during the term.

Will I get an invoice for the deposit?

The deposit securing the lease is refunded at the end of the contract. It is not our income, so you will not receive an invoice for it. We issue an invoice for the virtual-office service fee.

How are payments collected for the virtual office?

For annual upfront payment, you can pay online from your bank, by credit card via PayPal or by traditional transfer. If you choose monthly payment, we require payment for the first month when you place the order. For subsequent months, you receive an electronic invoice by email. Invoices with 14-day payment terms are issued at the start of each month they cover.

How will I be notified of correspondence?

 We notify you of incoming correspondence immediately by email on the day we receive your mail. Depending on your package, you can also order mail scanning or forwarding to another address you specify.

When can I collect correspondence?

You can collect correspondence Monday to Friday from 8:00 to 18:00. We can also forward it to an address you specify if you choose that option in the contract.

What kind of letters do you accept?

Depending on the powers of attorney granted to us, we accept all letters except items from criminal court divisions (by law, those can only be collected by the addressee in person) or other items marked “personal delivery”. In such cases we take the delivery notice on your behalf and let you know. You can pick up the noted item at Post Office no. 40, Rynek Starego Miasta 15, Warsaw.

Can I have parcels delivered to the office address?

Yes — you can have small parcels delivered, up to 5 kg and no larger than 60x60x60 cm. We do not accept parcels containing flammable, perishable, dangerous or illegal materials, pornographic content or anything offensive.

What happens to mail I don’t collect?

We store your shipments for 180 days from receipt; after that we have the right to dispose of them.

How can I terminate the contract?

You can terminate an open-ended contract with one month’s notice by sending a termination notice to the address indicated in the contract.

How can I use the on-site Workin office?

By signing a registered-office (virtual office) contract with us, you get a 10% discount on conference room rental, hourly offices and hot desks. Book by emailing info@workin-senatorska.pl or calling 22 699 61 50.

What languages do you speak?

Our team speaks English, Ukrainian, Russian and Polish. Contracts can be concluded in Polish and English.

Can I change my company data after signing the contract?

Yes — send us the updated registration data by email. We update the contract and our system within 24 hours

Can I collect mail in person on Saturday?

The office normally operates Monday to Friday, but Saturday pickup is possible by prior arrangement.

What does the mail-scanning process look like?

After receiving a letter, we scan the envelope and the contents (if you’ve consented). We send the PDF by email the same day.

Does Workin store paper documents?

Yes — we store originals for 6 months, after which you can collect them or request disposal with confirmation.

Can I order mail forwarding to another address?

Yes — we offer forwarding to a domestic or international address. Cost depends on frequency and destination country.

Can I use the Workin address in CEIDG and KRS?

Yes — the Senatorska 2 address is accepted by both CEIDG and KRS. We also help prepare the registration application.
