Bringing a team to Warsaw from several countries raises questions a local planner never asks: which airport, which dates are holidays here, how people get from the plane to the room, and what happens to the colleagues who cannot fly in. This planner answers those first, then matches venues to the kind of event you are running.
Warsaw is well set up for it. Chopin Airport handled about 24.1 million passengers in 2025, and Statistics Poland counted 106 hotels in the city, with about a third of all bed places in Śródmieście, the central district. The same survey found 584 conference rooms in the city’s accommodation alone.
Workin publishes this planner and runs one of the venues in it. For the others we used only facts the venues publish themselves. For a wider list of rooms, see our guide to ten event venues.
Getting everyone to Warsaw
Poland is in the Schengen Area and uses the złoty (PLN). Everything else your attendees need to know about arriving fits on four passes.
Dates to avoid: Polish public holidays
Poland has 14 statutory public holidays, and since 2025 Christmas Eve is one of them. Offices, many shops and some suppliers close, so an event on these dates costs more to staff and is harder for local guests to attend. Watch the long weekends: Corpus Christi always falls on a Thursday, so the Friday after it often becomes a bridge day.

Match the venue to the format
Pick the format before the venue. Each step up the ladder needs a different kind of room, and the venues below are the ones we would short-list for each.
- 150-400 peopleClient summit
Auditorium seating, a foyer for coffee breaks, and hotels close by.
- Parallel tracksMulti-track conference
Several same-size halls so sessions can run side by side.
- Up to 3,600Congress with an expo
Exhibition halls, conference rooms and parking in one place.
Eight venues that work for visiting teams
Capacities and features as each venue publishes them. For simultaneous interpretation, the Copernicus Science Centre auditorium has three interpreting booths, and every PGE Narodowy conference room can take soundproof booths. For smaller groups, an AV supplier can bring portable booths or a whisper system.

Example: a two-day team offsite from Castle Square
Here is how a 30-person team could spend two days at Workin, using rooms and services we offer. Treat it as a template: every room, time and catering choice can change.
Day 1: work
- Arrive at WorkinCoffee, tea and water are unlimited, and reception handles coats and guests.
- PlenarySenator 1 and 2 combined seat 30, with multimedia and a video link for remote colleagues.
- BreakoutsTwo groups in Miodowa 1 and 2, 14 seats each, with flipcharts.
- LunchCatered on site, ordered in advance with dietary needs listed.
- WorkshopBack to the plenary room, or the Royal room (8) for a leadership huddle.
- Walk to dinnerOld Town restaurants are minutes away; the Royal Castle is 4 minutes on foot.
Day 2: decide and fly
- Strategy sessionThe event space for a bigger group, or the same rooms as day 1.
- Lunch and wrap-upDecisions written down before anyone leaves for the airport.
- DeparturesBus 175 from Plac Piłsudskiego (about 10 minutes’ walk) or the train from the centre, about 30 minutes.
Keeping remote colleagues in the room
International teams rarely get everyone in one place. Someone has a visa appointment, a newborn or a product launch at home. Plan for them from the start: a good stream decides whether they feel included or merely watching.
Workin runs this in-house: streaming equipment, multi-camera production, a backup internet connection and staff who moderate on Zoom, ClickMeeting or Teams. For training, the team can also handle registration, knowledge tests and satisfaction surveys. Ask for a test broadcast from the actual room before the day; it is the cheapest insurance an event can buy. Ask us about hybrid events.
Questions international planners ask us
QWhich airport should our team fly into?
AWarsaw Chopin (WAW) if you can: trains reach the centre in about 30 minutes and bus 175 stops at Plac Piłsudskiego. From Modlin (WMI) the transfer takes a shuttle bus plus a train, so allow about an hour or more.
QDo attendees need visas?
APoland is in the Schengen Area, so rules depend on nationality. Check the Polish Office for Foreigners’ “Do I need a visa?” page or the Ministry of Foreign Affairs visa pages well before booking.
QIs Christmas Eve a working day in Poland?
ANo. Since 2025, 24 December is a statutory public holiday in Poland, alongside 25 and 26 December.
QCan we get simultaneous interpretation?
AYes. The Copernicus Science Centre auditorium has three interpreting booths and PGE Narodowy’s conference rooms can take soundproof booths. For groups under 150, portable booths or a whisper system from an AV supplier are the usual route.
QWhat is the best month for an event in Warsaw?
AMay and September are the mild months, both averaging about 14 °C. Avoid early May and early June without checking the holiday calendar above, since both have public holidays.
QCan Workin host a hybrid event for a distributed team?
AYes. Workin rooms seat 8 to 50, the event space up to 150, and the team provides streaming, multi-camera production and moderation on Zoom, ClickMeeting or Teams.
