Warsaw has a room for almost any gathering, from an eight-seat boardroom facing the Royal Castle to exhibition halls built for trade fairs. The hard part is matching the room to the brief. This guide compares ten venues by capacity, district and the kind of event each one handles best, and closes with the checklist we use when clients plan events with us.
The city has become a serious meetings destination. In the ICCA ranking for 2025, Warsaw hosted 75 international association meetings, 28th in the world and, for the first time, inside Europe’s top 20. The city’s convention bureau counted 6,314 events with about 2.1 million participants in 2023. Competition for good rooms on good dates is real, especially in autumn and before Christmas.
One disclosure before the list: this guide is published by Workin, and we put our own space first. The other nine are venues we would point clients to when a brief does not fit us, most often because it is bigger than 150 guests. We checked every capacity figure in September 2026 against the venue’s own website or, where noted, Warsaw Convention Bureau.

Capacity depends on layout. Theatre-style rows seat the most, banquet tables the fewest. Mindspace does not publish room capacities, so ask for them with your layout.

Each bar runs from a venue’s smallest to its largest bookable space. The scale is logarithmic, so the gap between 10 and 100 guests looks the same as the gap between 100 and 1,000.

The ten venues
Workin comes first, since this is our guide. After that the list runs from the smallest venues to the largest, so you can stop reading once you pass your headcount.
Workin
Five meeting rooms and a 150-guest event space in a restored building on Castle Square, at the edge of the Old Town.
We run Workin, so read this entry knowing that. We put it first because it answers the brief most people bring to a central-Warsaw search: a room that looks good, works technically, and sits where out-of-town guests can find it without a taxi app. The address is ul. Senatorska 2, and the Royal room looks out towards the Royal Castle.
The five meeting rooms seat 8 to 14 people each and combine into larger layouts. The event space is a different animal: designed for up to 150 guests, with swings, poufs, stage lighting and sound, and it has hosted conferences, press meetings, company parties and even fashion shows.

PURO Warszawa Centrum

A design hotel off the main shopping streets with two meeting spaces. Mural is a boardroom for up to 12, with a movable wall that opens onto the Loreta bar. Neon & Lino takes up to 40 in 40 m² of daylight and splits into two rooms.
It suits meetings where some guests are staying overnight, or where the agenda ends with drinks.
Good to knowThe Loreta rooftop bar on the 7th floor has a panorama of the city centre, which makes an easy after-meeting venue.
Mindspace Koszyki and Skyliner

A flexible-workspace brand with two Warsaw sites. Koszyki sits in a restored early 20th-century building, a listed monument next to the Hala Koszyki food hall, and has 12 meeting rooms. Skyliner is in a Wola office tower and markets event spaces for executive offsites, investor briefings and leadership panels.
Both sites let non-members book meeting rooms by the hour or the day.
Good to knowMindspace does not publish room capacities for Warsaw, so send your headcount and layout when you ask. The 42nd-floor event venue in the Skyliner tower belongs to a different operator.
CIC Warsaw, Varso Place

An innovation campus in the Varso Place complex beside the central station, with a busy calendar of startup and tech events. The Hall seats up to 210, the Foyer takes 250 for a standing reception, and smaller rooms cover workshops of 16 to 80.
The 21st-floor terrace, which holds 50 for drinks, is the part guests remember.

Hotel Bristol, a Luxury Collection Hotel

It is the default choice for VIP delegations, press conferences and dinners where the setting has to signal formality.
Good to knowCombine it with a smaller venue nearby. A morning working session on Castle Square and an evening dinner at the Bristol are a short walk apart.
Copernicus Science Centre, Conference Centre

The science centre on the Vistula runs a conference wing alongside its galleries. The auditorium seats 280, and the 440 m² conference room holds 360 in cinema layout or splits into as many as six rooms with sliding walls.
Few venues in Warsaw publish prices. Copernicus does: its price list dated January 2025 puts the auditorium at 12,500 zł net per day and the smallest 110 m² section of the conference room at 6,500 zł.
Good to knowGuests can be offered a private planetarium screening or gallery access, which turns a conference break into something people talk about. Check current rates, since the published list dates from 2025.
Royal Castle in Warsaw

The reconstructed royal residence rents five of its rooms. The Kubicki Arcades under the castle take up to 1,200 for a reception or 800 for a seated dinner. The Great Hall holds 350 for a conference or concert, the Great Treasury 170 seated, and the Council Chamber 60.
Events here need the Castle Director’s written consent to the event plan, so start the conversation early and expect the museum’s rules to shape the programme.

Centrum Praskie Koneser

A 19th-century vodka distillery across the river, restored and reopened in 2018 as a quarter of restaurants, offices, a hotel and the Polish Vodka Museum. Nine event spaces range from a cocktail bar to Butelkownia, the former bottling hall, whose main room has 675 m² under a 5.3 m ceiling.
Warsaw Convention Bureau lists Butelkownia at up to 800 guests theatre-style or 650 for a banquet.
Good to knowDifferent spaces are run by different operators, so one enquiry may not cover the whole complex. Brick, steel and a museum on site do a lot of the décor work for you.
PGE Narodowy Conference Centre

The national stadium houses a conference complex that its operator calls the largest in Warsaw. Six halls seat 240 to 360 each, and two of them divide with soundproof walls into three rooms of about 120, so up to ten sessions can run at the same time.
It is the practical choice for congresses with parallel tracks and for company kick-offs that need a plenary plus breakouts.

EXPO XXI Warsaw

Warsaw’s established exhibition centre, open since 2001 and expanded with a fourth hall in 2009. It hosts more than 200 events and over half a million visitors a year. Hall 4 alone holds up to 3,600 people, and the largest of its ten conference rooms, ONYX, seats 195 theatre-style.
Choose it when the exhibition floor matters as much as the talks.

Before you sign: the venue checklist
Most venue problems surface on the day, and nearly all of them could have been caught with one more question during the site visit. These are the questions we would ask any venue, including ours.
Capacity and layout
- Ask for capacity per layout (theatre, classroom, U-shape, banquet, standing). The same room can seat half as many at tables as in rows.
- Request a floor plan and photos of past setups at your headcount.
- Check sight lines to the screen from the back row, and ceiling height if you plan a stage or roll-ups.
- Confirm the load-in route, lift size and where your kit can be stored.
Tech and hybrid
- Wired internet for the stream, and a backup connection if the stream matters.
- Who operates sound, screen and cameras on the day, and until what time.
- Microphone count: handhelds for Q&A, lapels for panels.
- A test run of the stream the day before, from the actual room.
- Blackout blinds if you are projecting during the day.
Food and hospitality
- Dietary requirements and how they are labelled.
- Buffet, plated or finger food, and how long each takes to serve at your headcount.
- Coffee break timing that fits the agenda without queues.
- Alcohol licence, bar cut-off time, and whether outside catering is allowed.
- A staffed cloakroom from October to April. Warsaw winters mean coats.
Contract and costs
- What the hourly or day rate includes: AV, internet, cleaning, staff.
- Whether setup and teardown hours are billed.
- Overtime rates in writing, and the cancellation schedule.
- Evening and weekend pricing. Many venues, Workin included, discount off-peak slots.
Access and guests
- Step-free access, lifts and accessible toilets.
- Nearest metro and tram stops, plus parking for guests who drive.
- Hotels within walking distance for out-of-town speakers.
- Noise limits for evening events, especially in the historic centre.
What drives the price
Venue pricing in Warsaw depends on four things more than on the venue’s reputation: time slot, duration, headcount and what is bundled. A weekday daytime slot is the most expensive hour of the week at almost any business venue, while evenings and weekends are where the discounts are.
Ask every venue for the same quote structure: room hire, technology, catering per person, staff, and extras such as cleaning or overtime. Then compare line by line. A cheap room with separately billed AV and a technician often ends up costing more than a bundled one.
For a sense of scale, the one large venue on this list that publishes prices, the Copernicus Science Centre, lists its 280-seat auditorium at 12,500 zł net per day in its January 2025 price list. Smaller central rooms are booked by the hour and cost a fraction of that.
